Who We Are
Aumoria is a trading name of NDSB Pty Ltd (ABN: 86 684 110 389). We are based in Perth, Western Australia. In this policy, "we," "us," and "our" refers to NDSB Pty Ltd. The words "you" and "your" refer to the person accessing or using our website and services.
We take your privacy seriously. This policy explains what personal information we collect, how we use it, and how we protect it, in plain English.
Our Privacy Promise
Before the legal detail, here is what we want you to know:
Your stories are private. They are never shared publicly, never shared with third parties for marketing, and are only accessible to us and the trusted platforms we use to deliver our service.
Your content is not used to train AI. To the best of our knowledge, and based on our review of their current policies, the third-party services we use do not use your content to train AI models. We do not use it for that purpose either.
A real person reviews and edits your content. Nada, Aumoria's founder, personally reads every transcript and hand-edits every book. Your stories are handled with care by a human being, not a system.
We delete your files. Thirty days after your book is printed, we take all steps reasonably available to us to ensure your recordings, transcripts, photos, and design files are removed from the platforms we use.
You own your content. Everything you share with us belongs to you.
What Information We Collect
We collect personal information in the following ways:
When you place an order: Your name, email address, shipping address, and payment details are collected through our website, which is hosted on Shopify. We do not store your payment details; these are handled securely by Shopify's payment processing system.
When you create a portal account: Your name and email address are collected through our customer portal, which is built on Softr and Airtable.
When you subscribe to our mailing list: Your email address is collected through our website and stored in Klaviyo, our email marketing platform.
When you submit your stories: You may upload voice recordings, photographs, and written notes through your customer portal. This content is submitted voluntarily by you and may include personal information about you and others, including family members. We do not control the nature of the content you choose to share.
How We Use Your Information
We use your personal information only for the following purposes:
- To create and deliver your Legacy Book
- To communicate with you about your order and the progress of your book
- To send you emails about Aumoria, where you have consented to receive them
- To improve our services
We do not sell your personal information. We do not share it with third parties for marketing purposes.
Third Party Services We Use
The information provided about each third-party service below is accurate to the best of our knowledge at the time of publication and is subject to change without notice. Aumoria is not responsible for, and has no control over, the separate privacy policies of these third parties. Customers are responsible for reviewing and accepting the privacy policies of each platform prior to engaging our services.
Shopify — processes your order and payment details.
Softr and Airtable — power your customer portal and store your account information and uploaded content.
Google Workspace — your submitted files are stored in our private Google Drive, accessible only to us. As with all cloud platforms, Google may access data where required for technical support or as required by law.
Rev (AI transcription) — voice recordings are processed by Rev's automated transcription service. Based on Rev's current policies, no person at Rev listens to your recordings and your content is not used to train AI models. These policies are subject to change without notice; we recommend reviewing Rev's privacy policy directly if this is a concern. Once the transcript is returned to us, Nada personally reviews it, corrects any errors, and uses it as the basis for editing your book. The human editorial work happens entirely within Aumoria.
Canva — transcripts and photographs are used within Canva to design and lay out your book. Please refer to Canva's privacy policy for information on how uploaded content is handled and retained by their platform.
Klaviyo — stores your email address and manages our email communications.
An Important Note About Voice Recordings
When you submit a voice recording, it is temporarily uploaded to Rev's automated transcription service. This is a machine process; your recording is not listened to or reviewed by any person at Rev. Once transcribed, the file is returned to us and stored securely in our private Google Drive.
Every transcript is then personally read and edited by Nada before any work begins on your book. The stories in your Legacy Book are shaped by a human being who reads your words carefully, not generated or assembled by software.
It is the customer's responsibility to ensure that any other person featured in a voice recording has given their permission to have their voice submitted to our portal and processed by an automated transcription tool as part of creating the book.
How Long We Keep Your Information
We retain your files, including voice recordings, photographs, transcripts, and design files, for 30 days after your book has been printed and dispatched. After that period, we take all steps reasonably available to us to remove your files from the platforms we use, including submitting deletion requests to third-party providers where required. Please note that we cannot guarantee permanent deletion from third-party systems, as this is subject to each provider's own data retention practices.
Your name, email address, and order details are retained in Shopify and Klaviyo for as long as necessary to manage your account and comply with our legal obligations.
How We Protect Your Information
We take reasonable steps to protect your personal information from misuse, loss, and unauthorised access. These steps include:
- Password-protected portal access for all customers
- Files stored in a private Google Workspace account accessible only to us
- Due diligence on third-party providers to confirm they have documented data security procedures in place
In the event of a data breach, whether by Aumoria or a third-party provider, we will notify affected customers as soon as practicable, in accordance with our obligations under the Notifiable Data Breaches scheme (Privacy Act 1988 (Cth)). Where required, we will also notify the Office of the Australian Information Commissioner (OAIC) and provide recommendations to affected individuals on steps they should take in response.
While we take all reasonable precautions, no system is entirely secure. We encourage you to contact us immediately at nada@aumoria.com if you have any concerns about the security of your information.
Cookies
Our website uses cookies through Shopify and Klaviyo. These may include cookies that track browsing behaviour for the purposes of abandoned cart recovery and email marketing. You can manage cookie preferences through your browser settings.
Your Rights
Under the Australian Privacy Act 1988, you have the right to request access to the personal information we hold about you, and to request that inaccurate information be corrected. To make a request, please contact us at nada@aumoria.com.
